Development Director

Organization:

Kahilu is a multidisciplinary arts organization, located in the historic town of Waimea (Kamuela) on Hawaii Island. It has a main stage with 490 seats, a black box venue with a 75 seat capacity, two art galleries and a film program that creates original content for Kahilu.TV. Kahilu has a presenting season, hosts community rentals and events, and has art education programs for youth. For over four decades, Kahilu has created a space where community, creativity and inspiration thrive. 

 Responsibilities include, but are not limited to:

  • Manage the organization’s grants program: work with relevant staff on proposals, budgets, and all grants administration, including acknowledgement and reporting.
  • Support Kahilu’s long-term financial sustainability through major gifts, individual and corporate giving programs, naming opportunities, endowment and planned giving campaigns.
  • Work with ED and Board to develop new sources of funding, i.e., on-line giving, social media campaigns, naming opportunities, corporate giving and more. 
  • Help maintain and update the Spektrix patron database: enter and code gifts, pledges, and donations, ensure all gift and donor information is accurate and up-to-date. Run reports as needed for the Board and staff. 
  • Track outstanding annual and campaign pledges and sponsorships. 
  • Strategize appeal and income opportunities throughout the year.
  • Provide status reports to assist in monitoring fund-raising activities.
  • Create renewal solicitation letters, and end of fiscal year/annual funds solicitation lists.
  • Produce gift acknowledgment letters, donor cards etc.
  • Assist in the roll-out of all special events.
  • Attend performances, concerts, donor dinners, and other programs at Kahilu that allow for donor cultivation and stewardship.
  • Participate in friend-raising, fund-raising and stewardship events as needed.

The fundraising targets for each fiscal year are approximately $750,000 to $1,000,000 secured in grants, sponsorships, annual appeals, large gifts, membership, special events, and more.

Education, Skills and Experience:

  • 3-5 years of demonstrated fundraising responsibility preferably within arts organizations.
  • Strong computer proficiency is required and a working knowledge of Spektrix or similar database software is preferred.
  • Ability to understand and support the needs and interests of donors in order to sustain relationships between them and Kahilu.
  • Excellent written and verbal communication skills.
  • Excellent organizational skills with attention to detail and follow-through.
  • Ability to prioritize work and adjust to multiple demands.
  • Ability to work well with a team.
  • Proficiency in Excel is required.

Working Conditions & Physical Tasks:

  • Typical office environment requires the ability to remain seated at a computer workstation for extended periods. Some job functions may be performed off-site or outdoors. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands; and reach with hands and arms. The employee is occasionally required to sit, stoop, kneel, crouch. The employee may lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and depth perception.
  • Must be able to work evenings and weekends as needed.
  • Local travel is required; must have a valid driver’s license and access to own vehicle.

Compensation: $65,000 – $75,000

Executive Director

Position Description
The Executive Director (ED) of Kahilu Theatre Foundation is a strategic thinker and problem solver leading and working with the Kahilu team to achieve the Theatre’s mission: Making a place where community, creativity and inspiration thrive. They are the face of the organization, building and fostering relationships of trust and care with donors, foundations, community partners and members, and other mission-aligned organizations. The ED is responsible for operational, administrative, and financial oversight of the organization. The ED should demonstrate a knowledge of Hawaiʻi, its history, people, values, and diverse cultures.

The ED develops and manages organizational policies as directed by the Board in such key areas as operations, fundraising, finance, and marketing. They work collaboratively with the Director of Programs on the artistic vision of the Theatre; the Director of Programs will subsequently curate the theater’s artistic offerings in alignment with the joint artistic vision. The ED is solely accountable to the Board of Directors and oversees department heads including the Director of Programs, Director of Operations, Finance Manager, Digital Content & Marketing Manager, and Gallery Director. The responsibilities of the position include:

Management

  • Provide leadership and vision to all facets of Kahilu Theatre operations.
  • Oversee the daily operations of Kahilu Theatre, including review and implementation of systems to ensure smooth operation.
  • Continually evaluate and effectively respond to the ongoing/evolving needs of the organization.

Human Resources

  • Model and promote effective and positive communication among departments and staff.
  • Demonstrate and maintain a healthy working environment for, and ensure the safety of, all staff, volunteers, artists, and patrons.
  • Maintain transparent and up-to-date internal operating and human resource policies and procedures.
  • Ensure that the written staff position descriptions are up to date and accessible and that formal written performance reviews are conducted on an annual basis for all staff members.
  • Ensure compliance with payroll and staff benefits as required.
  • Operational & Strategic
  • Lead Kahilu Theatre operations and work with the Director of Programs to support artistic visioning.
  • Pursue opportunities to provide greater access for underserved and underrepresented groups.
  • Understand and communicate narrative ties between Kahilu artistic, educational, gallery, fundraising, community programs, marketing, technical, volunteer, and patron relations.
  • Ensure that the organization is effectively structured and staffed.
  • Maintain operating policies and procedures for staff, independent contractors, and volunteers.
  • Develop clear lines of authority and communication for staff, volunteers, and the Board.
  • As directed by the Board, implement the Strategic Plan and work with the Board to review and update the Plan as needed.

Financial

  • As directed by the Board and the Finance Committee, manage all fiscal operations of the organization.
  • Develop and manage an annual budget for each fiscal year that includes all fundraising activities and operational revenue and expenses. Coordinate with the Director of Programs to integrate the production, marketing, and arts education budgets into the overall budget, while controlling cash flow and expenditures.
  • With the Finance Manager and Board Treasurer, provide timely financial reports to the Finance Committee and the Board.
  • Review all expenses and income monthly and be responsive to all fluctuations.
  • Provide oversight and approval of leases, purchases, and contracts in compliance with the policies and procedures of Kahilu Theatre and applicable law.
  • Ensure timely compliance with and accurate reporting to the necessary governmental entities.

Board

  • Support the Board to optimize Kahilu Theatre’s mission, vision, strategy, resources, and leadership.
  • Engage with Board members to maximize their talents and effectiveness to ensure strong fiscal health, equitable community access to programming, and effective governance.
  • Assist in Board member prospect identification, cultivation, recruitment, and stewardship.
  • Assist Board committees to develop and achieve their goals and objectives.

Development

  • Oversee a robust development program, including creation of a comprehensive annual plan.
  • Prepare an annual report describing the Theatre’s programming and financial activity.
  • Work with staff to ensure success in annual fundraising efforts and management in the areas of individual giving, major gifts, endowment, planned giving, grants, and funding from all levels of government.
  • Oversee development staff and consultants.
  • Lead and support the organization’s special development programs, including its annual gala, season sponsorships and subscriptions, planned giving, program sponsorships, and project funding.
  • Direct grant writing activities for all Kahilu Theatre programs.
  • Maintain strong relationships with the funding community.
  • With the Board, other development staff and consultants, increase the diversity of the organization’s income sources (contributed and earned revenue).
  • Ensure appropriate recognition and appreciation of all donors, funders, and community partners.
  • Provide Board members with information and priorities for development activities in order to elicit their support and assistance where/when appropriate.

Marketing, Audience Development, and Community Relations

  • With the Director of Programs, promote strategic partnerships, working relationships, and collaborations with businesses, community organizations, governmental agencies, educational institutions, and other members of the community, other arts organizations, public agencies, and the media.
  • Maintain strong community visibility and engagement.
  • Be available for interviews, performances, and public events.
  • Be a visible and passionate speaker for Kahilu Theatre.

Arts Education Programs

  • Oversee the education program at Kahilu Theatre.

Facility

  • Ensure functionality and safety of the Kahilu Theatre facility.
  • Provide oversight of written policies and procedures and budgets for facility maintenance, improvements, and safety.
  • Ensure a welcoming environment for all attendees, volunteers, staff, and artists.
  • Inform governmental and relevant entities about our facility needs and seek assistance when needed.
